(1) Introduction
This website (the “Site”) is provided by ResidentsHQ Ltd (“ResidentsHQ” or “we”). The Site provides social networking services (the “Service”) that allow participating residents (owner and tenants, collectively “Residents”) in selected residential developments (“Developments”) to interact with other participating Residents in their Development (eg via a forum or through clubs and events).
By accessing or using our Site or the Service you (the "User") signify that you have read, understand and agree to the use of the data that we collect in accordance with this Privacy Policy. We are committed to protecting any data that we collect concerning you.
ResidentsHQ is an independent company, and unless a Development is identified as a Partner Development (“Partner Development”), the Service is not sponsored by, supported by or linked to a Development’s owner(s) or management in any way.
We reserve the right, at our sole discretion, to change, modify, add, or delete portions of this Privacy Policy at any time without further notice. Your continued use of the Service or the Site after any such changes constitutes your acceptance of the new Privacy Policy. A note at the top of this page will be provided if there is any change in the Privacy Policy. If you do not agree to this or any future Privacy Policy, do not use or access (or continue to use or access) the Service or the Site. It is your responsibility to regularly check the Site to determine if there have been changes to this Privacy Policy and to review such changes.
(2) How we use the information you provide us
a. Registration information
When you register to become a Member (“Member”) of the ResidentsHQ Service for a Development at which you’re a Resident, we will ask you to provide your e-mail address and a password of your choice. Your e-mail address will be used as your username for login purposes, but will never be displayed to other Members. To be able to register, you will need a passcode, which will be sent to your postal address to validate that you’re a Resident at the Development you have selected. Passcodes can be requested from the Site log-in page of your Development - this can be found by going to the Developments section from the ResidentsHQ homepage.
Once you have registered using your passcode, we will use your username and password to control access to the Service (and your passcode will no longer be required). You are responsible for keeping your password confidential, and you should never disclose your password to others. Please notify us immediately of any unauthorised use of your password or account by e-mailing us at helpdesk@residentshq.com.
At the time of registration, other personal information required includes your name, address, date-of-birth and telephone number. This information may be used to verify that you’re eligible to access the ResidentsHQ Service – for example by checking that you’re over 18, or verifying your residency with your Developments’ management.
Excluding your name (which will be displayed on the Site), we will not as standard practice publish or share your personal information used to register for the ResidentsHQ Service without your consent. Exceptions to this are where we share your information with your Developments’ management to verify your residency at the Development, and also where we may share the information with police and law enforcement agencies for the purpose of fraud detection, crime prevention and national security.
We do not sell, trade, or rent your personal information to others.
Your name will be visible on your Profile page and on any messages, forum posts, reviews, clubs or events that you participate in on the ResdientsHQ Service.
As part of the Service, we may communicate with you via e-mail including welcome e-mails and e-mail bulletins encouraging you to log in to the Site or take advantage of various features or offers. You may opt out of these e-mails by e-mailing us on helpdesk@residentshq.com.
(3) Aggregated data
We may disclose aggregated data to third parties such as advertisers and a Developments’ management. For example, we may disclosure aggregated site usage to potential advertisers. Aggregated data does not include personally identifiable information about any Member.
(4) Our deletion policy
Your access to the Service will terminate if you move out of your building, or if we have an agreement with your Developments’ management that is terminated or interrupted, or if you violate our Terms and Conditions. In these cases, you will no longer be eligible to log in to access the Service.
We have no obligation to maintain or forward any data that you have submitted. We delete our Residents' personally identifying information periodically after the termination of their accounts. Once information that could be used to identify you has been removed, the information that remains may be used and shared by us as permitted by law. There is no scheduled date at which this non-identifying information will be destroyed or no longer used.
(5) Cookies
Cookies are text files, which identify your computer to our server. We will automatically issue your computer with a cookie whenever you register on our website, (or possibly when you browse), in order to track traffic flows and to additionally make our website easier for you to use.
Cookies themselves only record which areas of the site have been visited by the computer in question, and for how long. You have the opportunity to set your computers to accept all cookies, to notify you when a cookie is issued, or not to receive cookies at any time.
Selecting not to receive cookies can mean that certain services, such as previous registration identification cannot then be provided.
(6) General
Certain details and information provided by you will be monitored from time to time and certain data such as messages sent by you will be retained by us for up to 12 months in accordance with the Anti-Terrorism Crime and Security Act 2001. Such details may be disclosed to the police and law enforcement agencies for the purpose of fraud detection, crime prevention and national security. We also reserve the right to move or edit messages or materials that we, in our sole discretion, deem to violate our Terms and Conditions or any applicable content guidelines, or which in any way is otherwise unacceptable.
We aim to comply with the principles of the Data Protection Act 1998 and aim to maintain consistently high levels of good practice in our processing of personal and/or sensitive personal data.
